The condition of rented equipment and spaces: pickup, return and upkeep
Rented equipment comes back worn, and without a clear record you no longer know who damaged it or when. Noted on paper or in messages, the history gets lost. Below you'll see how to record the condition of rented equipment and spaces, from pickup through return and upkeep.
The flow (short answer)
- Note the condition of the equipment or space and its accessories at pickup, on a simple sheet kept with the booking.
- Mark the booking as picked up, so you know the asset is out and until when.
- At return, compare its condition with the one at pickup and note any differences.
- Mark the booking as returned only after the check, so it can be rented again.
- If the equipment or space needs repair, block a maintenance period, so it cannot be booked.
Why recording matters
- Without a condition noted at pickup, you cannot prove that damage happened during the rental.
- The customer sees the equipment or space was checked, instead of feeling the process was left to chance.
- The picked-up or returned status shows on the booking exactly what is out and what is back.
- Equipment and spaces taken out of rental for repairs no longer appear as free while the work is done.
Table: informal note vs. booking in the system
Paper note vs. booking with statuses
| Criterion | Informal note | Booking in the system |
|---|---|---|
| Tracking | Easily lost | Clear status on the booking: picked up or returned |
| Availability | Unclear what is free | Maintenance period blocked, the asset cannot be booked |
| History | No trace | Earlier bookings stay on the asset |
Example
Example: a customer returns a video camera with a scratch on the lens. The pickup sheet shows the lens was intact. The difference is noted, the booking is marked returned after the check, and the camera is taken out of rental for cleaning before the next booking.
Common mistakes
- Handing over equipment without noting its condition and accessories.
- Not marking the return on time, so the asset looks booked when it is actually free.
- Leaving faulty equipment in stock, so the next customer gets something that doesn't work.
How 4rentify helps
- The picked-up and returned statuses on each booking.
- Blocked periods for maintenance, so equipment under repair cannot be booked.
- The booking history of each rented asset, from the first rental to the latest.
